Secure & Seamless Digital Patient Consent Management

Simplify the consent process with fully digital, password-protected, and encrypted consent forms. Patients can complete forms remotely, while clinics maintain full legal compliance and audit trails. All integrated into one smooth workflow.

What is the traditional process of obtaining patient consent in medical practices?

Traditionally, patient consent is collected using printed forms that patients fill out and sign manually at the clinic. These paper documents are then stored physically or scanned into digital systems. This process is time-consuming, prone to errors, and lacks real-time accessibility, making it inefficient for modern medical workflows. In accordance with § 630f of the German Civil Code (BGB) and § 57 of the Model Professional Code (MBO-Ä), patient consent documents must be retained for a minimum period of 10 years following the last treatment.

How do existing digital solutions address the patient consent process?

Existing solutions often lack fully digital consent forms, resulting in a partially manual, partially digital process. Typically, doctors must manage PDF versions of consent forms, manually upload them to digital systems, and configure features like signature pads. When patients visit the clinic, doctors still need to open these PDFs on a tablet or iPad and hand the device to the patient for signing. This process becomes cumbersome and inefficient, especially when managing multiple consent forms, as doctors must handle numerous PDFs and repeat this manual workflow for each one. And specially doctors need to buy these consent forms seperatly from a consent forms provider.

How does eDopamine fully digitalize the patient consent process?

eDopamine fully digitalizes the patient consent process by integrating consent management directly within our comprehensive ERP platform. All consent forms provided are rigorously tested and audited by our legal and medical experts, covering a wide range of standard treatments available across the European market. If doctors require additional or customized consent forms, they can easily request them via our built-in support portal, with new forms delivered within days. When doctors add treatments to the system, they can assign one or more relevant consent forms to each treatment. Upon patient booking, an automated email is sent containing a secure link for the patient to access and complete the required consent forms remotely. Once digitally signed, the system instantly updates the doctor with the completed status and indicates the patient is ready for treatment.Leveraging advanced Natural Language Processing (NLP) technology, eDopamine analyzes consent content to ensure accuracy and completeness, alerting doctors promptly if any concerns or incomplete consents are detected. This creates a fully automated workflow that eliminates administrative burden and guarantees legal compliance. Additionally, all consent forms are securely stored for more than 10 years, meeting regulatory retention requirements.

Is this feature compliant with GDPR and medical data protection regulations?

Yes, eDopamine’s patient consent feature fully complies with GDPR and all relevant medical data protection regulations. Consent forms are sent securely to the patient’s registered email address via a link generated using a hashed and encrypted token stored on our servers, ensuring that no patient data is exposed within the URL.Access to the consent form is protected by a multi-factor authentication process: a one-time password (OTP) is sent exclusively to the patient’s registered phone number, and the patient must also provide their date of birth for verification. Only when both credentials are correctly entered can the patient access the form.To further enhance security, the system employs rate limiting and advanced CAPTCHA mechanisms to protect against brute force and automated attacks. All data transmission is conducted over secure HTTPS connections using a minimum of TLS 1.3 encryption.Once submitted, all consent data is encrypted and stored securely on servers located in Germany, adhering to the highest standards of data protection and privacy.
